What slows an agency down isn't selling or advising: it's everything in between. Opening emails with PDF quotes, copying coverages into a spreadsheet, cross-checking reports that every insurer sends differently, checking which policies expire next month. Hours of data entry nobody bills for.
Quotes arrive by email as PDFs, some of them scanned, and someone retypes them into the comparison table.
Every insurer sends its receivables report in a different structure; the same company may send two or three formats depending on the system that produced it.
Group policy updates — who joined, who left, whose sum insured went up — are reconciled by hand in spreadsheets, month after month.
Expirations get reviewed when someone remembers, and sometimes that's late.
That work doesn't go away. It can be handed over.
How it works
It comes in by email and goes out in your agency's format
The same path for all three fronts: underwriting, receivables and — soon — claims.
Step 01
It comes in by email or as a file
You write to the analyst inbox the way you'd write to a person, or you upload the month's files. cautia reads native and scanned PDFs, Excel, Word and images; we don't ask you to change formats.
Step 02
The analyst extracts, cross-checks and builds
It identifies the line of business, extracts coverages, deductibles, sums insured and premiums, cross-checks against your database or against the slip you sent out, and builds the document with your template, your logo and your colours.
Step 03
A person reviews, approves and it goes out
No document leaves without someone looking at it. The result comes back in the same email thread, in the format you already use: PDF, Excel or HTML.
Human in the loop
This is where the loop closes: no approval from a person, no delivery.
Each analyst is a role that groups specific modules. We start with whichever one hurts most and grow module by module. Each one shows its real status: what already runs for a client, what's in pilot and what doesn't exist yet.

Claims
Will collect claim documents, build the file and tell you what's missing before filing.
For surety companies and cooperatives that quote credit surety bonds. It's one of Elías's modules, packaged separately — not an agency module.
The surety bond quoting module receives the request, extracts the credit variables, calculates the rate across all three modalities — advance, monthly and mixed — with and without a commercial commission, and the proposal passes through a human approval before it reaches the sales team.

The platform
What makes an analyst dependable
The modules are the work. The platform is what makes that work land properly: where it comes in, what it can read, whose brand it goes out under and who approves it.
Analyst inbox
One inbound address. cautia reads what you're asking for, runs the right workflow and replies in the same thread.
Document reading
Native or scanned PDF, Excel, Word and images. Whatever arrives, as it arrives.
Templates in your agency's brand
Your logo, your colours, your headings and your legal footer. The end client receives your document, not ours.
Human approval
A review point before anything is sent. cautia uses artificial intelligence in every workflow, and nobody signs on your behalf.
Case-level traceability
Every request stays linked to its email thread, its input files and the document that went out.
Formats we already read
18 insurers, one output file
cautia's receivables reconciliation currently supports the report format of 18 insurers, plus your policy system's own file. Each one sends its own structure; you get a single reconciled spreadsheet.
Insurers whose formats we read
Formats cautia already reads. Trademarks belong to their respective owners.
We have no commercial relationship with these companies and we do not represent them.
Trust and data
We work with your clients' data. Here's how
When cautia runs your workflows it acts as a data processor: the data remains your agency's and we process it following your instructions and our contract, under Colombia's Law 1581 of 2012 and Decree 1377 of 2013.
The site and the workflows run on providers outside Colombia (Cloudflare and Google Cloud), and AI processing relies on Google Gemini and on Mistral for text recognition in scanned documents. All of it is declared in the data processing policy, with its purposes.
We don't display seals or certifications we don't hold. When we earn one, it will appear here with its scope and date.
No. cautia is not a CRM or an ERP: it works on top of the one you already have. If your system has an API, we connect to it; if you work in Excel or Google Sheets — as most intermediaries do — we work with your files. The goal is for your team to stop producing documents by hand, not to change software.
A person. cautia uses artificial intelligence to extract, cross-check and build, but the document is reviewed and approved before it's sent: in some workflows through an approval step inside the system, in others through your own team's review before forwarding to the client. No workflow sends anything on your behalf without that step.
We adjust it. Per-insurer formats are configuration, not code, and the change is part of the workflow's monthly service. There's also header detection that absorbs minor variations without intervention. If a company changes its structure substantially, we tell you and we fix it.
No. The input is your email and your files; the output carries your logo, your colours and your legal footer. You write to the analyst inbox the way you'd write to a person, and the answer arrives in the same thread.
For receivables reconciliation we currently support the format of 18 insurers. For comparison tables we work on whatever quotes you receive, with no closed list: coverage is defined by the line of business and the document type, not by the company. We're not going to tell you we work with all of them, because it wouldn't be true.
The site and the workflows run on Cloudflare and Google Cloud, outside Colombia. AI processing uses Google Gemini and, for scanned documents, Mistral's text recognition. Those providers act as sub-processors and are declared in the data processing policy along with their purposes and the international transfer information.
It starts with one workflow — whichever hurts most. We run a diagnostic of your operation, tailor the workflow to your files and templates, implement it, test it with real cases and activate it. Five phases, and we work with your real files from day one, not with demos.
No. cautia is not an insurance intermediary or adviser and has no relationship with the end policyholder. The comparison table and the other deliverables are your agency's working tools: you review them, you advise and you answer to your client. Every comparison table goes out with a note stating that it is a provisional quote and does not imply acceptance of the risk.
